Microsoft 365 File Backup & Restore Tips

Key insights

• File-level backup added to Microsoft 365 Backup: Microsoft now lets admins restore individual files or folders from SharePoint and OneDrive restore points instead of recovering entire sites or drives.
This enables quicker recovery for accidental deletes or corruption.
• What it is: Microsoft 365 Backup is the native backup and recovery service that stores backups inside the Microsoft 365 trust boundary and supports OneDrive, SharePoint and Exchange.
The service offers normal and express restore options for faster full restores when needed.
• How it works: Admins browse and search restore points, then select specific files or folders to restore.
The feature requires the SharePoint Backup Administrator role and is available only to tenants that already have Microsoft 365 Backup enabled.
• Key advantages: The capability delivers faster recovery and more precise remediation by avoiding full site or drive restores, and it reduces operational overhead during incidents.
It also keeps backup data inside Microsoft’s existing backup model.
• Scope and limitations: The file-level browse and restore applies to SharePoint and OneDrive workloads only; Exchange continues to use its own restore flow.
This is an admin-only feature and not a general end-user restore path.
• Availability and impact: Microsoft announced public preview in early March 2026 with general availability expected in late April–early May 2026.
By enabling single-file restores, this closes a key gap in native recovery and improves everyday incident response for Microsoft 365 content.
