Microsoft 365 commercial subscribers can now leverage the newest version of Microsoft's diagramming tool to better convey information and processes. The recent updates to the tool promise exciting new features to enhance productivity. Here is what to expect with the upcoming Microsoft 365 Diagramming-tool launch.

Microsoft has recently deployed the diagramming tool web application on Microsoft 365 for Government Community Cloud (GCC), GCC High, DoD, and other sovereign cloud customers globally. If you've previously exploited the instrument in Microsoft 365, you'll observe the introduction of new diagram types from the diagram application homepage on Office.com, the first one being organization charts. Org charts can serve as a nifty means to depict company structure, hierarchical levels, and reporting relationships. They also come in handy when trying to turn a constantly evolving or intricate organization into a simple structure.

Microsoft recently added Charts to the web version of the diagramming application. Similar capabilities are now being extended to the appliance in Microsoft 365. To try the feature, visit the tool's homepage at diagram.office.com and choose Organization Chart. This option will lead you to a new blank canvas with five distinct chart stencils - 'medal', 'pinboard', 'basic', 'badge', and 'rollout'. These can be filled with color-coded shapes to represent different staff roles in your organization, such as executives, managers, assistants, consultants, etc.

When you have added the shapes to the canvas, you can fill them with information including names and job titles. After this, use the connectors to demonstrate the hierarchy and create your organization chart. You can even display the hierarchy in the manner of your choice with layout options such as 'top to bottom', 'bottom to top', 'left to right', and 'right to left'.

You don’t need to start every drawing from scratch. Take advantage of sample diagrams like 'Sales Org Chart' and 'HR Org Chart' to get you going quickly. You can find these by clicking on 'More templates' on the home page. However, note that editing org charts created from data in Excel with the Data Visualizer add-in requires a Plan 1 or a Plan 2 subscription.

One can also craft new org charts directly in Teams from the Files tab of any channel. Just click on New and then select the Diagram-tool drawing in the drop-down menu. Provide a file name and select Create. A new blank canvas will open directly in Teams with stencils for Basic Shapes and arrows. You can add any of the stencils mentioned above in the Shapes pane by searching for “Organization” in the Search bar. Once it has been added, they can click and drop your selected shapes to the canvas to create an organization chart in Teams.

The new updates are not just limited to organization charts. Recently, Microsoft also introduced basic network templates, shapes, and connector tools in the tool for Microsoft 365, so you and your team can create and collaborate on simple network designs using basic network and computer equipment shapes. Detailed network diagrams and other cloud diagrams such as Azure and Amazon Web Services are, however, only available with a Plan 1 or Plan 2 subscription.

The unique use cases and needs of users of the tool in Microsoft 365 have led Microsoft to develop new diagram content applicable to a wide range of users and industries, including business executives, marketing teams, manufacturing, healthcare, and education. This new content in the web version of the tool allows you to quickly develop useful visualizations, such as business frameworks, infographic timelines, industry-specific flowcharts, prioritization matrices, educational infographics, and more.
