Unlock Business Chat Features with In-depth Microsoft 365 Copilot Guide

Microsoft Business Chat was one of the biggest of the announcements made for Microsoft 365 Copilot. Here’s what it is and how it will completely change the way we handle email.

Business Chat is a cutting-edge technology that enables you, the end user, to request information or data using your natural language. This means that you can simply type in your query as you would speak to a human, and the system will understand and respond accordingly. The format and structure of the answer you receive will depend on the way you ask your question, also known as the prompt, and the context in which you are asking.

For instance, you can ask specific questions such as whether anything happened with a particular customer yesterday, as illustrated in the accompanying image. Although it may appear to be a magical experience, the truth is that Business Chat is the product of significant research and development by Microsoft engineers, who have invested a great deal of time and effort into perfecting this technology.

To understand how Business Chat works, it is essential to grasp the underlying mechanics of the system. Essentially, the process begins when you pose a question using natural language within a Microsoft application or Business Chat. Your query is then processed, and your prompt is enriched with relevant data extracted from your emails, meetings, files, and other sources using the Microsoft Graph.

The more enriched prompt, which now comprises your original question and the additional data extracted from the Graph, is then sent to a Large Language Model (LLM), also known as ChatGPT, which is an advanced AI system. The LLM formulates a response to your question, which is then further processed to suit the context of the original prompt. This means that the response structure and application instructions you receive will vary depending on whether you asked the question from within Teams, Word, or Excel.

Microsoft refers to the sophisticated architecture that coordinates these various steps as “The Copilot System,” which brings together advanced technologies such as natural language processing, machine learning, and data analytics to create an unparalleled user experience. With Business Chat, you can access information and data quickly and easily, with minimal effort, allowing you to focus on what really matters - growing your business.
