Microsoft's Viva Topics is primed to enhance productivity by intelligently using AI to provide users with knowledge and expertise within the applications they frequently utilize. Ensuring organized content and expertise across systems and teams, Viva consolidates related topics such as projects, products, processes, and customers.

This month, Microsoft is highlighting new capacities and highly anticipated integrations for Viva Topics within Microsoft 365 apps. These capabilities aid in delivering knowledge at scale to your organization.

Beginning in April 2022, the integration to Microsoft Teams will be rolled out. This will allow customers to use hashtags for the attachment of topic cards to any chat, thereby stimulating user engagement. This feature forms on the already available Topic Center app for Teams.

Among other new integrations across MS 365, the Syntex taxonomy service has been incorporated to assist you in building a knowledge base. Syntex can create and manage business taxonomies directly from the content saved in libraries across the Microsoft 365 ecosystem. Consequently, topics can utilize those taxonomy tags to construct topic pages and automatically associate newly found and tagged documents to these pages as additional content.more information to other products linked here

Should you require more stringent security measures, Syntex is capable of automatically applying Microsoft Information Protection (MIP) sensitivity labels to content before it's indexed by Viva Topics. This enables you to select sensitivity labels to exclude specific SharePoint sites and files from topic discovery. All metadata and alternate names extracted from these files are also eliminated from the AI-suggested topic.

On the Outlook web app, hashtags can be used to link topic cards to any message, allowing Viva Topics to display additional suggested topics to your audience. This inclusion has already begun its deployment.

Viva Topics' integration with Yammer is firm, with topic pages automatically enabling users to pose questions about the topic to a linked community, effectively drawing in recognized experts to provide answers.

Improvements in User Experience and Topic Management

Multiple answer provision is being integrated into Microsoft Search results, alongside other answer types like bookmarks and acronyms. Effective first run experiences will guide initial use of Viva Topics in SharePoint to better understand what Viva Topics is and how to both consume and contribute knowledge.

Automatic AI-discovered connections are being added to related topics on the topic map and the topic card to enhance visual maps currently displaying a manual map of related topics. Over time, multi-level connections among topics will also be implemented.

Topic discovery insights for Viva Topics will be displayed in the Insights area under Search & Intelligence in the Microsoft 365 admin center. New users will view a continuous change in these insights pattern as the content is indexed by Viva Topics.

A redesigned Topics experience will speed up your knowledge search across the organization, with the capacity to search and filter the list of topics from a single consolidated list. Users will be able to search for both suggested and published topics from the Topic Center.

For content living outside SharePoint, resources for external content can now be added. Users will also have to opt-in to be added to topic pages and cards, allowing for better governance and privacy standards navigation.

Regarding updates for the current month, Viva Topics will be made available in the Government Community Cloud (GCC) environments. Any features released to clients as of April 2022, including topic cards, topic pages, integration in SharePoint & Office, and topic management capabilities will be included.

These can include themes like projects, products, processes, or customers that are related to your daily tasks. In essence, the system uses AI to create knowledge within apps you already use.

There have been some exciting developments regarding the integration of Viva Topics with Microsoft 365 apps in addition to new admin capabilities. As a result, the delivery and organization of knowledge within your enterprise is now more efficient and unimpeded.


Among the developments, the integration of the module with Microsoft Teams [Roadmap ID 72189] starting from April 2022 is quite noteworthy. This feature allows customers to use hashtags and attach 'topics cards' to any chat. Users can then engage with these cards and further explore the highlighted topic.

The mentioned integration extends an already available feature, the Topic Center app for Microsoft Teams. Plus, recent integrations have been introduced across Microsoft 365, further enhancing your ability to manage and create knowledge within your enterprise.


A key component of these new integrations is Syntex, which assists in building your knowledge base. Syntex automatically manages and builds business taxonomies from the content you save across Microsoft 365. In turn, these taxonomy tags are utilized by Topics to create topic pages and tag related documents to the created pages, offering a seamless way to construct your knowledge database.


For instances that require more layers of content security, Syntex has a built-in feature to apply Microsoft Information Protection (MIP) sensitivity labels to content before indexing by Topics. This feature ensures that only appropriately tagged and secure information is incorporated into the Topics search and discovery algorithm, thereby ensuring the content remains secure even in its translated form.

Outlook on the web is another integration of Topics, where users can attach topics cards to any mail using hashtags. Additionally, Topics' integration with Yammer allows users to post questions about the subject and bring in experts to answer these queries.


Promising developments have been made to improve user experiences with Topics. Now you stand to see multiple answers in Microsoft Search results. Exciting updates on visual maps and topic cards are underway, with automatic detection of connections to related topics through AI.


If you're an admin, you will find resourceful insights in the Search & Intelligence segment of the Microsoft 365 admin center. These insights show trends of topics that have been discovered, what has been added and removed from your organization's database, and offer a streamlined topic experience to boost your knowledge search within the organization.

To accommodate external content, external links can now be pinned on topic pages. And if privacy is a concern, admins have control over whether or not users are automatically associated with a topic unless users opt in. Enhancements continue to roll in for Viva Topics, cementing Microsoft’s commitment to enhance productivity through AI and knowledge management.


As of April 2022, Viva Topics and other modules are now available in the Government Community Cloud (GCC) environments. All the features that have been released cater to the clients, which includes topic cards, topic management, and integration of Topics in SharePoint and Office.
