Explore workarounds on redirecting SharePoint News comments to authors, not creators, in the latest blog by a Microsoft expert.

In a recent blog post, Ellen Van Aken addressed the query regarding SharePoint News Comments in detail. She began by describing an interesting discussion about how one could direct the SharePoint News comments at the original author rather than the creator of the post. To answer this question, she ventured into investigating different workarounds to this matter.

Initially, she reviewed some basics, outlining the relationship between the creator of the news post and the author - which are the same by default. However, the post can be attributed to a different author, if the creator inserts the supposed author's name or email in the Author field. Furthermore, she indicated that the readers of the post can provide feedback via Likes and comments. This feature is by default enabled, but the author can decide to disable it.

Ellen clarified that it is indeed crucial for authors to set their preferences for receiving email notifications of Likes and comments on their posts. This can be achieved by adjusting the settings via the SharePoint Homepage interface. However, creators or authors who are external do not receive email notifications, and likes can only be displayed in the Pages Library. The notification of comments goes only to the creator of the post, which can become problematic.

In response to this issue, Ellen provided a list of potential workarounds:

  • Including the author's name when making a comment is one way to address this.
  • Alternatively, an Outlook rule can be utilized to forward comments to the author.
  • Another workaround could involve Power Automate, although Ellen noted some limitations to this approach.
  • Lastly, Ellen suggested the integration of Yammer or Teams, where the discussion can be redirected Afterward.

Numerous options are not advisable or futile, like setting an alert for Likes or using SharePoint rule "when column value changes."

Moving ahead with SharePoint Notifications

Handling tasks and communication on SharePoint Online can often lead to a web of confusion, particularly with respect to notifications on Likes, Comments, and in distinguishing between the post creator and author languages. This confusion is particularly notable when different people create a post on someone else's behalf. Hence, enhancing the existing notification system or developing new functionality altogether could significantly streamline this process. Yet, during this transitional phase, workarounds like those provided by Ellen serve to mitigate the impact of such issues, which considerably enhances user experience.

Learn about Redirecting SharePoint News Comments to the Authors Section

The purpose of this Microsoft SharePoint Online blog post is to discuss methods to redirect news comments to the author's section. SharePoint Online is a popular cloud-based service that enables collaboration with teammates while creating, organizing, and sharing information securely.

This blog focuses on ensuring that all comments on a news post on SharePoint are directed to the individual named as the author, instead of the individual who created the post. This came about because a reader posed the question and our inquisitive author decided to investigate and provide workable solutions.

An important premise in SharePoint Online is understanding the concept of author and creator roles. When content is posted on SharePoint, it notifies the appearing Author by default. However, when content is posted on someone else's behalf, there is an Author Byline that allows the name or email address of the post's author to be inserted.

SharePoint pages allow their readers to like and comment on posts, a feature usually enabled by default. The author can disable these comments or instruct SharePoint to send notifications for likes and/or comments. This can be achieved by selecting 'Email Notifications Settings' from the SharePoint Homepage settings.

However, external publishers or authors do not receive email notifications by default. This is where the difficulty lies - despite the real author desiring to get notifications for comments and likes, the notifications are always directed to the post creator. There are some workarounds to ensure that the actual author receives notifications:

  • Train People: People should get into the habit of always '@' the author when making a comment. This step requires education and change management processes,
  • Use an Outlook rule: The creator can enable comments on their SharePoint Homepage and set a rule to forward notification emails to the author,
  • Use Power Automate: Although this feature does not currently support notifications for comments or likes, it's an option to forward the email to the creator,
  • Redirect to Yammer or Teams: Comments can also be disabled, and the discussion moved to a Yammer or Teams community. This would allow authors to participate in the discussion directly.

Unfortunately, some options are simply not recommended or don't work altogether, like setting alerts for likes or changing rules in SharePoint when column values change.

In conclusion, it may take some effort and ingenuity, but there are multiple ways to redirect comments to the appropriate author in SharePoint Online. Whether through training, manual redirects, or utilizing other Microsoft services like Yammer and Teams, a solution can always be found.
