Maximize email efficiency with Microsofts new recall feature for Exchange Online, boosting success rates and improving message management.

Microsoft's New Cloud-Based Message Recall Feature for Exchange Online

The long-anticipated Exchange Online Message Recall feature has finally been launched by Microsoft! Replacing the classic Outlook for Windows message recall, this novel feature significantly improves both the recall success rate and overall user experience.

Microsoft recognized the drawbacks of the original recall feature, particularly the 50% average success rate tied to its client-based operation. The new cloud-based recall feature offers improved effectiveness and usability, satisfying a clear customer need.

Key improvements include a two-fold increase in successful recalls and a streamlined process that happens within the cloud mailbox. It can recall 'read' messages, retrieve messages from any folder within the mailbox, and provides a single, web-based status report per recalled message.

  • This feature is twice as effective as the classic feature.
  • It operates within the cloud mailbox, not dependent on a client.
  • Recall of 'read' messages is possible.
  • Recalls can be triggered from any mailbox folder, not just the Inbox.
  • A single web-based status report is now available to track recalls.

Still, the Message Recall feature can presently only be initiated using Outlook for Windows, and message recalls cannot be applied to recipients outside of your organization or from recipients with on-premises-hosted mailboxes. Tenant admins can disable the recall of read messages rule and completely disable the new cloud-based Message Recall for their tenant.

Upcoming tips on this feature include the anticipation of an API that will allow other email clients to submit recall requests, a potential recipient notification of a successful recall, and adjustments to mailbox audit logs.

Delving Deeper into the Cloud-Based Recall Function

The message recall feature overhaul has proven to be a critical and significant upgrade. It addresses many pain points such as the system’s inability to recall flagged 'read' messages and offer recalls from sub-folders. The new technology’s ability to recall from any email client drastically increases recall success rates.

The new feature even includes cloud recall capability, a marked upgrade from the client-based function. A quick status update is also ensured, with many recall actions happening swiftly regardless of the number of recipients involved.

Admins now have significant control over the recall function with options to disable read message recalls and disable the new feature entirely for their organization. Importantly, recall results are not stored in the sender's mailbox, negating any strain on storage space. Nevertheless, a few hurdles remain such as recalling messages sent outside the organization and recalling from on-premises hosted mailboxes, which Microsoft is actively addressing.

Despite the lingering gaps and potential improvements, the new feature promises to promote peace of mind for all users. Enterprise-level communication platforms require robust recall functionalities, coupled with comprehensible and accessible recall status reports, and Microsoft's latest feature seems to fit the bill.

Learn about Optimizing Cloud-Based Exchange Online for Effective Message Recall

In a recent announcement, Microsoft has revealed the launch of its long-awaited cloud-based message recall feature for Exchange Online. Previously announced at Microsoft Ignite, the new functionality boasts a significantly improved success rate compared to its classic client-based predecessor. The updated feature provides status reports for each recalled message, replacing the need for individual notifications per recipient, improving both efficiency and user experience.

  • Based on its use by Microsoft employees, the new feature is more than twice as effective at successfully recalling messages than the original feature.
  • The feature no longer relies on recipients having Outlook for Windows open for recall attempts to be processed. Now, it operates within the cloud mailbox, allowing recipients to use any email client that syncs with an Exchange Online mailbox. Furthermore, the client doesn't have to be open for the recall to process.
  • The revamped feature can recall 'read' messages, however, this ability can be disabled by tenant admins if need be.
  • Messages can now be recalled from any folder or sub-folder within the mailbox, not just the Inbox.
  • Lastly, users receive a simplified web-based status report for each recalled message, allowing them to quickly see recall results and the corresponding status for each recipient. This aims to eliminate the need for multiple status notifications.

While the new update minimizes the requirement for recipients to use Outlook, senders still need to use Outlook for Windows to trigger a message recall. However, with its significantly improved success rate and usability, the new cloud-based message recall feature could help in successfully handling unintended email sends, providing improved control over digital communication.
